James has recently been transferred by his company to Taiwan from the UK. He is helping his CEO, Mr. Wang, prepare a presentation in English for some foreign executives.

詹姆斯不久前被英國總公司外派到台灣,他正在幫王執行長準備給一些外商高層主管的簡報。

Wang: ‘So, please look at the PPT. (Reading) The new…err…XJ50…has a processing speed…err…that is…err…50 percent faster…than the…err…previous…err…’

王先生:「那麼,請看PPT(照稿念)新的……呃……XJ50……的處理速度……呃……比之前的……快50%。」

James: OK, OK, enough.

詹姆斯:OK,夠了。

Wang: You don’t like it? Am I talking too slowly? Is it boring? Will they laugh at me?

王先生:你不喜歡嗎?是我講得太慢嗎?還是太無趣?我會被他們笑嗎?

James: No, no. But to make an impact you can’t read from the screen. You need to face the audience.

詹姆斯:不會。但是簡報要有影響力,你就不能照著螢幕念稿,你需要面對聽眾。

Wang: Oh, OK. But this way they have all the information in front of them.

王先生:喔,但是他們在螢幕上已經看到所有資訊了。

James: That’s another problem. Your PowerPoint presentation has far too much text. You just want to display keywords that you can talk about. You want the audience to focus on you.

詹姆斯:這是另一個問題,你的簡報寫太多字了,你應該只秀出你要講的關鍵字,你希望的是聽眾把專注力放在你身上。

Wang: OK, got it. ‘Now, (clears throat) moving on, if you look at this table, you can see that in January, domestic sales were 1.5 million NT. In February, they were 1.8 million. In March they were 1.85 million. In April, sales were 2 million.’

James: OK, stop, please.

Wang: Huh, no good? Is it too detailed? Did I say it wrong?

James: Well, there are too many numbers in the table. It’s really hard to see the key point. You should illustrate it with an eye-catching bar chart or line graph.

詹姆斯:嗯,這表上有太多數字了,這樣不容易看到重點。你應該用個能吸引目光的長條圖或是曲線圖來說明。

Wang: Yes, I suppose that would be more visually appealing.

王先生:是,我想這樣在視覺上比較讓人眼睛一亮。

James: And one more thing. A list of numbers is really boring. Pick out the important trends and stress the impressive numbers. You need to get their attention! ‘As you can see, from January to April, sales skyrocketed to an incredible 2 million NT dollars.’

詹姆斯:還有一點,太多數字會讓人覺得無聊,找出重要的趨勢,強調讓人印象深刻的數字,你需要抓住他們的注意力!例如,「你可以從1到4月的業績看出,業績突飛猛進達到台幣200萬元。」

Wang: ‘2 million NT dollars!’ OK, I think I’ve got it. I’ve got face the audience, keep the PowerPoint simple, point out key trends and stress important words. Thanks a lot James. I owe you one for this.
