休假前如何交代工作的安排
Barry:I just wanted to remind you that I’ll be taking a week’s vacation from August 28- September 1. During my absence, Teresa Chen will be covering my sales management responsibilities. In this capacity, she’ll be handling any incoming requests for product and support from key clients. She’ll also be overseeing signoffs on pricing for any new sales. I’ve called all my contacts to let them know that I’ll be away, so there shouldn’t be any issues. John Lin will be covering the sales and sales support for the smaller accounts. John will also be covering the online sales queries.
[Jenny then sets her email to reflect that she’ll be away, and lets the recipient know who to contact in case of routine and urgent business. After that, she sits down with John, to make sure he knows what to do the week she is out.]
Jenny:John, you know I’ll be out all next week, right?
John:Yeah—you’re so lucky. We’ll be working hard and you’ll be in Santa Monica, soaking up the California sun.
Jenny:It’ll be your turn to take a vacation before you know it. Did you have any questions for me?
John:I think I’m good. You want me to respond to new sales queries.
Jenny:Right. And if you could keep the sales log and competitor files up to date while I’m out, that would be great.
John:No problem. Who should I go to if I have any questions?
Jenny:Go to Teresa for any issues regarding product sales, especially pricing.
John:What if a major client starts flipping out? What should I do?
Jenny:Just listen carefully to the need, and then make a decision about whether or not you need to act immediately. If the issue can wait for my return, then write up a summary email to me, and cc Teresa.
John:OK. Will you be checking your email from California?
Jenny:Yup, I’ll be keeping track of things, but I’m hoping you can keep things under control. If there’s an emergency, go to Teresa. You can call my cell phone if there’s a major crisis. I’ll only be gone a week, so hopefully you can manage anything that comes your way.
John:Have a great vacation! We’ll do our best to keep things running smoothly around here.

貝瑞:我寫這封信是希望提醒你,我會在8月28到9月1日休假。休假期間,陳泰瑞莎會暫代我的業務管理工作。這段期間如果重要客戶提出產品或其他支援方面的問題,泰瑞莎會負責處理。如果有新客戶,定價的部份必須經過泰瑞莎的核准。我會通知相關人員,告訴他們我要休假1星期,所以不會有問題。林約翰則會負責次要客戶的銷售與支援工作。此外,他也會接手線上銷售的部份。
(珍妮設定電子郵件功能,自動通知所有人她要休假1星期,同時讓這些人知道,如果有例行工作相關的問題或是出現緊急狀況時可以聯絡哪些人。然後她和約翰坐下來溝通,確定他知道她休假的事情。)
珍妮:約翰,你知道我下星期休假的事情吧?
約翰:知道啊,真好運。我們會努力工作,你就在聖莫妮卡好好享受加州的陽光吧。
珍妮:不久就輪到你休假,別急。你有任何問題嗎?
約翰:我想應該沒有。你說要我負責新客戶的銷售業務。
珍妮:沒錯。我休假的時候,請你更新銷售紀錄以及競爭者資料,這樣對我會很有幫助。
約翰:好的。如果我有問題,可以找誰?
